Turn Negative Customer Calls Into Action With SwitchBoard and Zapier

A difficult customer call can end in a few minutes. The problem is that the warning signs may sit unnoticed in a call record long after the customer hangs up.
That delay matters. According to PwC’s 2025 Customer Experience Survey, 29% of consumers said they had stopped using or buying from a brand because of poor customer experience.
SwitchBoard now gives teams a way to close that visibility gap. Once a call is analyzed for sentiment, the result can trigger a Zapier automation, alerting the right person when a conversation is classified as negative.
The idea is simple: identify the difficult call, surface it quickly, and give someone the chance to act.
When a Difficult Call Shouldn’t Go Unnoticed
Managers rarely have time to listen to every customer conversation. Even with call recordings available for review, manually checking calls one by one is difficult when a team handles dozens or hundreds of conversations.
That creates a visibility problem.
A billing dispute may have left a customer frustrated. A support conversation may have ended without a clear resolution. A caller may have had a poor experience even though they never asked to speak to a manager.
Sentiment analysis helps identify those interactions. Automation makes that insight easier to act on.
Instead of relying on someone to discover the call later, the sentiment result can become the starting point for a follow-up workflow.
What SwitchBoard Now Makes Possible
There is an important distinction here.
“Negative Call Sentiment Alerts” is not a SwitchBoard setting that users simply switch on. SwitchBoard provides the underlying automation capability.
After sentiment analysis completes, it can publish a call.sentiment.ready event for Zapier. The customer then decides what should happen with that information.
For a negative-call workflow, that normally means:
SwitchBoard sentiment event → Zapier filter → notification action

The automation platform shipped with SwitchBoard 1.18.0 and is available now, but it is enabled for individual customer instances on request rather than being turned on automatically.
That broader automation model also fits the way SwitchBoard already approaches call center automation: reduce manual post-call work while keeping people responsible for the decisions that follow.
From Call Ending to Manager Alert
The workflow begins after the conversation is over.
1. The Call Ends and Processing Begins
Once the customer hangs up, SwitchBoard finalizes the call record. If recording and automatic transcription are enabled, the recording then moves into transcription.
2. SwitchBoard Scores the Call Sentiment
Sentiment analysis runs after the transcript is ready and classifies the conversation as:
Positive
Neutral
Negative
This is a three-way classification, not a configurable sentiment score.
3. Zapier Receives the Sentiment Event
When sentiment analysis finishes, SwitchBoard publishes the Call Sentiment
Ready event and delivers the call data to the connected Zapier workflow.
Because transcription and analysis happen after the conversation, this is a post-call workflow, not live sentiment monitoring during the call.
4. Zapier Filters for Negative Calls
This is the step that turns a general sentiment event into a negative-call alert.
In Zapier, add a Filter step and set the condition to:
Sentiment → exactly matches → negative
Every analyzed call can produce a sentiment event, but calls marked positive or neutral stop at the filter. Only negative calls continue to the alert action.
5. The Right Person Gets Notified
The final Zapier action determines where the alert goes.
That could be a Slack channel, a direct message to a manager, an email,
Microsoft Teams, SMS, WhatsApp, or another workflow destination.
So the complete flow looks like this:

Why Faster Visibility Into Negative Calls Matters
The value is not the word “negative” itself. It is what the team can do once that information reaches the right person.
Make Service Recovery Faster
A supervisor can investigate the interaction while the conversation is still recent instead of discovering it during a later call review.
Reduce Manual Call Monitoring
Managers can focus attention on conversations that may need review rather than continuously searching through every completed call.
This matters because a poor service interaction can have consequences beyond the call itself. Accenture’s 2025 customer service research found that 87% of surveyed consumers said they were likely to avoid a company after a single negative service experience.
Escalate Issues Sooner
Negative sentiment can help surface conversations that deserve a manager's attention, whether the underlying issue involves billing, support, scheduling, sales, or another part of the customer journey.
Make QA More Focused
Instead of treating all calls as equally urgent, teams can prioritize conversations where the customer's experience may require investigation.
That complements a more structured call quality assurance process without requiring managers to turn every customer call into a manual review task.
Give Managers More Than Just a “Negative” Label
A useful alert needs context.

SwitchBoard can pass a range of call fields into Zapier, including:
Call ID
Caller name and number
Inbound or outbound direction
Call duration and talk time
Queue
Agents involved
Recording availability
Transcript ID
AI summary
Sentiment
That allows teams to build a notification that is more useful than:
Negative call detected.
For example, a Slack message could identify the caller, the call, the sentiment result, and other relevant details so a manager immediately knows which conversation needs attention.
Send the Alert Where Your Team Already Works
Slack is a practical example, but the workflow does not need to end there.
Because Zapier controls the destination action, businesses can route the event into tools such as:
Slack for a support or management channel
Microsoft Teams for internal escalation
Gmail or Outlook for email notification
SMS for time-sensitive alerts
WhatsApp for mobile notifications
CRM tasks for structured customer follow-up
PagerDuty for workflows where an incident needs to be raised
WhatsApp has been verified internally as a working Zapier destination. It is important, however, to describe it accurately: WhatsApp is not a SwitchBoard-owned integration. SwitchBoard delivers the event to Zapier, and Zapier handles the downstream WhatsApp action.
Put Call Insights Where Your Team Can Act
Connect SwitchBoard call events with the tools your team already uses and build workflows around conversations that need attention.
See It in Action: Build a Negative Call Alert in Slack
Slack provides a straightforward example of how the workflow comes together.
Connect SwitchBoard to Zapier
The integration must first be enabled for your SwitchBoard instance. An administrator then creates an API key with permission to read call records, transcripts, and summaries.
The SwitchBoard Cloud Zapier app is currently private, so customers access it through an invitation rather than finding it in Zapier's public app directory.
Choose Call Sentiment Ready
Use Call Event (Instant) and select Call Sentiment Ready.
This matters because the ordinary Call Ended event fires before sentiment analysis has finished. Call Sentiment Ready waits until the result actually exists.
Filter for Negative Sentiment
Insert a Zapier Filter between the SwitchBoard trigger and Slack action:
Sentiment → exactly matches → negative
This keeps routine positive and neutral calls from filling the team's channel.
Build the Slack Message
Choose Send Channel Message or a direct-message action, then insert the SwitchBoard fields your team actually needs.

For example:
Call [Call ID] from [Caller] ended with sentiment [Sentiment].
The wording and included fields are controlled by the customer, so teams can keep alerts as short or detailed as the workflow requires.
Test and Publish
Run a test, confirm that the message reaches the correct Slack destination, and publish the Zap.
Once published, new calls that reach the negative-sentiment condition can continue automatically through the workflow.
A Few Things to Know Before You Build It
A sentiment alert is straightforward once the underlying pieces are configured, but a few details matter.
It happens after the call. SwitchBoard needs the completed recording, transcript, and sentiment analysis first. Depending on processing time, the alert can arrive seconds to minutes after the conversation ends.
There is no sentiment threshold. The available outcome is positive, neutral, or negative. Although SwitchBoard records a confidence value internally, it is not currently passed into Zapier.
Recording and AI processing need to be configured. Automatic transcription and sentiment analysis must be active before Call Sentiment Ready becomes available.
Do not make the alert depend entirely on the AI summary. Summary generation and sentiment analysis run in parallel, so the summary can occasionally still be empty when the sentiment event arrives.
Negative Call Alerts Are Only One Use Case
Negative sentiment makes an effective example because the next action is clear: someone may need to review the conversation.
But the larger change is that call activity can now start work outside the phone system.
Instead of call intelligence staying inside a record that someone must remember to check, call events can become inputs for broader workflows: notifications, follow-up tasks, operational records, or other automated actions.
That changes the role of post-call intelligence from simply showing what happened to helping a team decide what should happen next.
Turn Call Insight Into the Next Action
Sentiment analysis can tell a team that a conversation went poorly. Automation closes the next gap by getting that information to someone who can respond.
With SwitchBoard call events and Zapier, businesses can build a simple workflow around difficult calls: analyze the conversation, filter for the signals that matter, notify the right person, and make follow-up easier to prioritize.
The goal is not to automate the customer relationship. It is to make sure important customer signals are less likely to be missed.

FAQs About Negative Call Sentiment Alerts
Can sentiment alerts work for outbound calls as well as inbound calls?
Yes. SwitchBoard passes the call direction as part of the event data, and sentiment processing is not limited to inbound calls. An eligible recorded outbound call can also enter the workflow when transcription and sentiment analysis are enabled.
Does Zapier receive the call audio or the full transcript?
No. SwitchBoard does not send the call audio or complete transcript text in the event payload. Zapier receives a Transcript ID instead, along with supported call fields such as sentiment, caller details, duration, and summary.
What happens if the notification destination is temporarily unavailable?
SwitchBoard queues event deliveries and retries failed attempts rather than making the telephone call wait for an external service. A destination problem may delay the notification, but it does not interrupt or affect the customer's call.
Can different managers receive alerts for different queues or agents?
The event data includes queue and agent information. Teams can use those fields when building additional Zapier filtering or routing logic, allowing different workflows to handle calls from different departments, queues, or team members.
Will older calls trigger alerts after I publish the Zap?
No. Calls that occurred before the Zap was published do not trigger the workflow. Once the Zap is active, new calls that complete the required processing and meet its filtering conditions can generate the configured action.
